Exhibitor Application Step 1 of 2 50% Exhibitor Agreement The Forum for Integrative Medicine 2019 Seattle, WA By requesting an exhibitor space at the TFIM 2019 event, I and my organization agree to the following terms: All exhibitor applications are reviewed by the TFIM leadership team. TFIM reserves the right to refuse the application of any exhibitor at TFIM's sole discretion without reason. With the purchase of an exhibitor booth, two conference passes will be provided. All booth staff above two persons will need to purchase an additional booth staff ticket. The floor plan provided for booth selection is an indication of preference, but not a guarantee for any specific booth location. Exhibitors acknowledge that TFIM has sole discretion in the assignment of booths and is under no obligation to assign a booth based on a preference expressed. Payment for a booth is due at the time of purchase. Cancellations will be allowed through 12/31/2018 and will result in a 50% refund of the original amount. No refund will be provided after 12/31/2018. All requests for refunds must be provided in writing. Recording of this event is not allowed. No audio or video recordings should be made. An exhibitor may not assign, sublet, or apportion any part of their assigned space to any person or organization other than their own. TFIM will not be liable for any loss or damage to exhibitor property for any reason. TFIM reserves the right to record and/or photograph all conference activities including exhibit spaces for use in marketing materials and related purposes. Exhibitors must have staff representation at their booth during event exhibit hours. No combustible materials shall be used as part of booth exhibits. No materials may be tacked, nailed, screwed, or attached to any portion of the hotel property. Shipping of any exhibit materials to/from the hotel are the responsibility of the exhibitor, and the exhibitor assumes full risk for any loss or damage. Distribution of any materials shall be restricted to the booth space. Exhibitors may not promote their products or offerings in any other space beyond their exhibitor booth. Distribution of giveaways, prizes, drawings, or similar must have prior approval by TFIM. Exhibitor areas are intended for use by those with a paid exhibitor booth only. No other person is permitted to display or promote a product or service. Exhibitor booths may not produce light or noise that may be objectionable to another exhibitor or to attendees. All portions of an exhibit including the backdrop shall fit within the allocated space. Exhibits should be set up and removed only during times expressly intended for this purpose. Exhibitors must make provisions for securing any product, materials, or equipment displayed. TFIM is not responsible for any loss or damage that may occur. Exhibitors are responsible for leaving the exhibit space with the same level of cleanliness as it was provided. Terms & Conditions* I agree to the exhibitor terms & conditions above. Each space is $2,500 which includes one 6’ table, two chairs, two attendee passes, 5 amp service, company logo and brief description in the printed conference program and on the conference website. Exhibitors are responsible for payment on any box handling charges they incur while shipping to the hotel and any electric they order from the hotel.
